Terms & Conditions

These Terms and Conditions apply to attendance at TEDx Kingston upon Thames, taking place on 15th October 2026 at The ACT Theatre, Kingston College, Kingston Hall Road, Kingston upon Thames, KT1 2AQ ("the Event").

By registering for, purchasing a ticket for, accepting an invitation to, or attending the Event, you agree to these Terms and Conditions.

1. About TEDx Kingston upon Thames

TEDx Kingston upon Thames is an independently organised TEDx event operated under licence from TED.

TEDx events are independently planned and coordinated on a community-by-community basis. TED Conferences, LLC ("TED") does not organise or operate this Event.

The Event is organised by TEDx Kingston upon Thames Committee ("we", "us" or "the Organiser").

TEDx Kingston upon Thames is operated on a not-for-profit basis. Ticket income, sponsorship and other Event income are used to support the costs of organising and delivering the Event in accordance with applicable TEDx rules.

Nothing in these Terms creates any contractual relationship between an attendee and TED Conferences, LLC.

2. Tickets and Registration

Tickets are subject to availability.

To attend the Event, you may be required to provide accurate registration information including your name, email address and any information reasonably required to administer your attendance.

Tickets may be: paid; complimentary; invitation-only; or allocated through an application process.

Where a ticket is issued to a named attendee, we may ask for identification at registration.

Tickets may not be resold for profit, commercially exploited, used as prizes without our written permission, or offered through unauthorised ticket resale platforms.

We reserve the right to cancel tickets which we reasonably believe have been obtained or transferred fraudulently or in breach of these Terms.

3. Ticket Prices and Payment

All ticket prices will be displayed before purchase.

Any booking, transaction or processing fees charged by a ticketing provider will be shown as part of the booking process where applicable.

Ticket revenue is used towards the costs of organising and operating TEDx Kingston upon Thames.

Payment must be successfully completed before a paid ticket is confirmed.

4. Refunds and Cancellations by Attendees

Tickets for the Event are generally non-refundable, except where: the Event is cancelled by us; we make a material change to the Event which gives rise to a refund under these Terms; or applicable law requires otherwise.

Tickets for leisure events taking place on a specified date generally do not benefit from the standard statutory cooling-off period applicable to many online purchases.

At our discretion, we may permit: transfer of a ticket to another attendee; cancellation by a specified deadline; transfer of the ticket value to a future event; or allocation of the place to an attendee on a waiting list.

Any permitted transfer must be completed in accordance with our instructions and before any stated transfer deadline.

5. Event Cancellation or Postponement

We may cancel, postpone, relocate or reschedule the Event where reasonably necessary, including because of: circumstances outside our reasonable control; safety or security concerns; venue closure or unavailability; severe weather; transport disruption; public-health restrictions; speaker or supplier issues; technical failure; insufficient ability to deliver the Event safely or appropriately; or requirements imposed by TED or by a relevant authority.

If we cancel the Event and do not reschedule it, paid ticket holders will normally be entitled to a refund of the ticket price paid to us.

Where the Event is postponed or rescheduled, tickets will normally remain valid for the replacement date. Where reasonably possible, we may offer ticket holders an opportunity to request a refund within a stated period.

Unless required by law, we are not responsible for attendees' additional costs such as travel, accommodation, meals, childcare or other expenses incurred in connection with attending the Event. Attendees are therefore encouraged to consider flexible or refundable travel and accommodation arrangements.

6. Programme, Speakers and Schedule

The published Event programme is provided in good faith but may change.

Speakers, performers, session timings, running order, content and other Event elements may be amended, substituted or cancelled without prior notice.

The appearance of a particular speaker, performer or session is not guaranteed and does not form a condition of ticket purchase unless expressly stated otherwise.

A change to an individual speaker or session will not normally entitle an attendee to a refund.

7. TEDx Content and Editorial Independence

TEDx Kingston upon Thames is independently curated. Speakers are selected because of the ideas and perspectives they may contribute to the Event.

Participation by a speaker, partner or sponsor does not mean that TED, TEDx Kingston upon Thames, the Organiser, our venue or our sponsors endorse every statement, opinion or view expressed by that person. Sponsors and partners do not control the editorial content or speaker selection of the Event.

Attendees acknowledge that talks may explore challenging, unfamiliar or thought-provoking ideas and that individual views expressed by speakers are their own.

8. Standards of Behaviour

We want TEDx Kingston upon Thames to provide a welcoming, respectful and safe environment. All attendees, speakers, volunteers, suppliers, partners and guests are expected to behave respectfully towards others.

We will not tolerate behaviour including: harassment; bullying; discrimination; intimidation; threatening or abusive behaviour; violence; deliberate disruption of talks or performances; unwanted sexual attention; damage to property; conduct which presents a health or safety risk; or behaviour which seriously interferes with other attendees' enjoyment of the Event.

Anyone engaging in unacceptable behaviour may be warned, removed from the Event or refused admission. Where an attendee is removed because of their behaviour, we may refuse a refund. Serious incidents may be reported to venue security or the police where appropriate.

9. Equality, Inclusion and Accessibility

TEDx aims to provide an inclusive and accessible experience.

If you have accessibility requirements or require reasonable adjustments, please contact us at event@TEDxKingstonUponThames.org as early as reasonably possible before the Event.

We will make reasonable efforts to accommodate accessibility requirements, subject to the facilities available at the venue and other relevant circumstances.

10. Food, Allergies and Dietary Requirements

Where catering is provided, attendees may be invited to tell us about dietary requirements or allergies. We will make reasonable efforts to communicate these requirements to relevant catering providers.

However, unless expressly confirmed otherwise, we cannot guarantee that food will be completely free from particular allergens or traces of allergens. Attendees with serious allergies should speak directly to Event staff or the caterer before consuming food.

11. Photography, Filming and Recording

TEDx events are designed to share ideas beyond the physical Event, and photography, audio recording and video recording may take place throughout TEDx Kingston upon Thames.

By attending the Event, you acknowledge that you may appear incidentally in photographs, audience shots or general Event footage.

We may use Event photographs and recordings for legitimate purposes connected with TEDx Kingston upon Thames, including: documenting the Event; promoting future TEDx Kingston upon Thames activities; websites and social-media channels; press and publicity; reporting to TED; archival purposes; and sharing TEDx talks and Event content.

Where practical, attendees who do not wish to appear prominently in photography or filming should contact us before the Event or speak to a member of the Event team on arrival. We may provide designated seating or another reasonable arrangement where feasible.

Participation in interviews, testimonials, staged photographs or other individually focused recordings may be subject to a separate consent process. Speakers, performers and other contributors may be subject to separate recording and release agreements.

12. Personal Photography and Recording by Attendees

Attendees may take personal photographs where permitted by the Organiser and venue. However, attendees must: respect instructions given by Event staff; avoid disrupting talks or performances; respect the privacy of other attendees; not obstruct aisles, exits or camera positions; and comply with any session-specific restrictions.

Professional or commercial photography, filming, livestreaming or recording requires our prior written permission. We may prohibit recording of particular sessions or areas.

13. Intellectual Property

TED, TEDx and associated marks are intellectual property belonging to TED Conferences, LLC and are used by TEDx Kingston upon Thames under licence.

Attendance at the Event does not grant attendees any right to use TED or TEDx names, logos, trademarks, speaker materials or Event branding for commercial purposes.

Talks, presentations, performances, slides, photographs, videos and other Event materials may also be protected by copyright or other intellectual-property rights. Except where permitted by law or expressly authorised, Event materials must not be reproduced, distributed, sold or commercially exploited without the relevant rights holder's permission.

14. Sponsors and Partners

TEDx Kingston upon Thames may receive financial or in-kind support from sponsors and partners permitted under TEDx rules. Sponsorship does not give sponsors editorial control over Event content, talks or speaker selection.

Products, services or information supplied directly by a sponsor, exhibitor or third party remain the responsibility of that third party. The Organiser is not responsible for representations made independently by third-party sponsors, exhibitors or suppliers.

15. Personal Data and Privacy

We process personal information in accordance with applicable UK data-protection law and our Privacy Notice, available at https://tedxkingstonuponthames.org/privacy.

Depending on your interaction with the Event, information we process may include: your name and contact details; booking and payment information; ticketing information; accessibility requirements; dietary requirements; communications with us; photographs and Event recordings; and information you voluntarily provide through feedback forms, surveys or Event activities.

Some information, particularly information relating to health, allergies or accessibility needs, may constitute special-category personal data and will be handled accordingly.

We may use service providers such as ticketing platforms, payment processors, venues, email providers and Event technology suppliers to help administer the Event.

Please refer to our Privacy Notice for information about our purposes, lawful bases, retention periods, data sharing and your rights.

16. Marketing Communications

Registering for the Event does not automatically mean that you have agreed to receive unrelated marketing communications from us. Where required, we will ask separately whether you would like to receive updates about future TEDx Kingston upon Thames activities.

You can unsubscribe from marketing communications at any time using the unsubscribe mechanism provided or by contacting event@TEDxKingstonUponThames.org. We may still contact registered attendees with service communications necessary to administer the Event.

17. Safety and Security

Attendees must follow all reasonable health, safety, security and emergency instructions issued by: the Organiser; venue staff; security staff; and emergency services.

For safety reasons, attendees may be subject to reasonable security or bag checks where permitted by law and venue policy. Prohibited or dangerous items may be refused entry.

Attendees must not intentionally interfere with safety equipment, emergency exits or Event infrastructure.

18. Admission and Right to Refuse Entry

We reserve the right, acting reasonably, to refuse admission or remove someone from the Event where necessary for: safety or security; violation of these Terms; unacceptable behaviour; suspected fraud; intoxication that creates a risk or serious disruption; failure to comply with lawful venue or Event instructions; or protection of attendees, staff, speakers or property.

This does not affect any rights you may have under applicable law.

19. Children and Young People

All Attendees must be 18 or over.

20. Lost Property and Personal Belongings

Attendees are responsible for their own personal belongings. We will take reasonable care of property handed to our team as lost property but cannot guarantee its return. Unclaimed property may be dealt with in accordance with the venue's lost-property procedures.

21. Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

Subject to those exceptions, we will not be responsible for loss or damage which: was not reasonably foreseeable; results from circumstances outside our reasonable control; relates to business or commercial loss suffered by an attendee attending in a personal capacity; or arises from an attendee's failure to follow reasonable Event or venue instructions.

We do not accept responsibility for the independent acts or omissions of third-party venues, transport providers, accommodation providers or other suppliers except where the law provides otherwise.

22. Events Outside Our Reasonable Control

We are not responsible for failure or delay in performing our obligations where caused by circumstances beyond our reasonable control. Such circumstances may include severe weather, natural disasters, fire, flooding, epidemics or public-health emergencies, industrial disputes, civil disorder, terrorism, security incidents, government restrictions, transport disruption, power failure, venue closure or failure of critical suppliers.

Where such circumstances affect the Event, we will take reasonable steps to communicate material changes to attendees.

23. Changes to These Terms

We may update these Terms where reasonably necessary, for example because of: changes to Event arrangements; venue requirements; TEDx requirements; regulatory requirements; or changes in applicable law.

The version applicable to your booking will normally be the version published when you purchased or accepted your ticket, unless a later change is required by law or is necessary for safety or Event administration and does not unfairly prejudice you.

We will aim to deal with concerns fairly and within a reasonable period.

25. Governing Law

These Terms are governed by the laws of England and Wales. If you are a consumer resident elsewhere in the United Kingdom, you may also benefit from mandatory protections available under the law applicable where you live.

Nothing in these Terms limits any statutory consumer rights which cannot lawfully be excluded.

26. Severability

If any part of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in effect.

27. Entire Agreement

These Terms, together with any ticket-specific conditions and our Privacy Notice, constitute the terms governing attendance at TEDx Kingston upon Thames.

Where there is a conflict between these Terms and mandatory applicable law, the law will prevail.
