TEDxKingstonUponThames ("we", "our", "us") is committed to protecting your privacy. This notice explains what personal data we collect in connection with TEDxKingstonUponThames (the "Event"), our mailing list and our website, why we collect it, and what rights you have.

1. Data Controller

TEDxKingstonUponThames is the data controller for the personal data described in this notice. For general enquiries, contact hello@TEDxKingstonUponThames.org. For Event-specific queries (accessibility, complaints, refund requests), contact event@TEDxKingstonUponThames.org.

2. What data we collect

Depending on how you interact with us, we may collect: your name and contact details; booking, ticketing and payment information (processed by our ticketing provider, Ticket Tailor); accessibility and dietary requirements; email address and name if you sign up to our mailing list (processed by our email provider, Mailchimp); photographs and recordings taken at the Event; and any information you send us directly, such as enquiries or feedback.

Some information, particularly relating to health, allergies or accessibility needs, may constitute special-category personal data and is handled accordingly.

3. Ticket Tailor and Mailchimp as processors

We use Ticket Tailor to sell and administer Event tickets, and Mailchimp to operate our mailing list. Both act as data processors on our behalf and process personal data only in accordance with our instructions and their own privacy and security policies.

4. Why we process your data (lawful basis)

We rely on: performance of a contract, to sell and administer tickets and deliver the Event; consent, for mailing list sign-ups, which you may withdraw at any time via the unsubscribe link in any email or by contacting us; legitimate interests, to plan, run and keep the Event safe, and to communicate essential Event information; and legal obligation, where applicable, for example for accounting and tax records.

5. Retention

We keep personal data only for as long as necessary for the purposes described in this notice, including to meet legal, accounting or reporting requirements. Mailing list data is kept until you unsubscribe or ask us to delete it.

6. Photography and filming

Photography, audio and video recording take place at the Event. You may appear incidentally in general Event photography or footage. We may use this content to document and promote TEDxKingstonUponThames, including on our website and social media. 7. Your rights

Under UK GDPR, you have the right to: be informed about how your data is used; access the data we hold about you; have inaccurate data corrected; have your data erased in certain circumstances; restrict or object to processing; request data portability; and lodge a complaint with the Information Commissioner's Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, www.ico.org.uk.
